This Privacy Policy explains what information we collect, how we use it, how long we keep it, and the choices you have. By using FreeConvertZo, you agree to the practices described here. If you do not agree, please do not use the Services.
1. Information We Collect
Information you give us
- Account information: If you create an account, we collect your full name, email address and password. Passwords are stored in hashed form and are never stored as plain text.
- Contact and newsletter information: If you contact us or subscribe for updates, we collect your name, email address and the message you send.
- Custom tool requests: Any details you share when you ask us to build a tool.
Files and content you use with our tools
- Files: PDFs, images and documents you upload to be converted, compressed, merged, split, edited, protected or unlocked.
- Text and data you enter: For example grades for the GPA and weighted grade calculators, source details for the citation generator, notes for the AI flashcard generator, details for the invoice generator, text for the communication translator, or recipe measurements.
We do not review your files or inputs, and we use them only to provide the tool you requested.
Information collected automatically
When you visit the site we may automatically collect:
- IP address and approximate location (city/country level)
- Browser type, device type and operating system
- Pages visited, time spent, referring website and tool usage
- Cookie and similar identifiers (see Section 6)
2. How We Use Your Information
We use the information we collect to:
- Provide, operate and maintain the tools you choose to use
- Create and manage your account and let you log in
- Respond to your questions, support requests and tool requests
- Send product updates or newsletters (only if you opted in; you can unsubscribe at any time)
- Understand how the site is used, fix bugs and improve speed, tools and user experience
- Keep the Services secure and prevent abuse, spam and fraud

3. How We Handle Your Files
Your files are your own. This is how we treat them:
- Processing: Depending on the tool, files are processed either directly in your browser on your device or on our secure servers. Where a tool processes files on our servers, files are transferred using SSL/TLS encryption.
- Automatic deletion: Files uploaded to our servers for processing are automatically and permanently deleted within 1 hour of processing.
- Shareable links and QR codes: Tools such as “PDF to Link” and “PDF to QR Code” must store your file so that others can open it. Files shared this way are kept for [X days / until you delete them] and then removed. Anyone who has the link can access the file, so do not share sensitive documents through these tools.
- No access: We do not open, read, copy, sell or share the contents of your files.
- Backups and logs: Technical logs may record that a conversion happened (for example time and tool name) but not the contents of your files.
4. AI and Third-Party Processing
Some tools (for example the AI Flashcard Generator and the Parent Communication Translator) may send the text you enter to a third-party AI or translation provider so that we can return a result to you. We send only the text needed to perform the request, and we do not use it to identify you.
Please do not enter sensitive personal information into these tools, such as student records, grades tied to a named individual, government ID numbers, medical details or financial account numbers.
5. Cookies and Similar Technologies
We use cookies and similar technologies to:
- Keep you logged in and remember basic preferences
- Understand site traffic and usage (analytics)
- Keep the site secure
- Show and measure advertising
Types of cookies we may use: essential cookies, preference cookies, analytics cookies .
You can control or delete cookies through your browser settings. Blocking essential cookies may stop parts of the site (such as login) from working properly.
6. Sharing and Disclosure
We do not sell or rent your personal information. We may share information only in these situations:
- Service providers: Trusted companies that help us run the site, such as web hosting, cloud processing, analytics, email delivery, and AI/translation providers. They may use your information only to perform services for us.

We take reasonable technical and organizational steps to protect your information, including 256-bit SSL/TLS encryption in transit, encrypted processing, access controls and automatic file deletion. However, no method of transmission or storage on the internet is 100% secure, so we cannot guarantee absolute security. Please keep your account password confidential.
8. Data Retention
- Uploaded files: Deleted within 1 hour of processing (except shareable-link files, see Section 4).
- Account information: Kept while your account is active. You can ask us to delete your account at any time.
- Contact messages: Kept as long as needed to respond and for record-keeping.
- Analytics data: Kept in aggregated or anonymized form for as long as it is useful.
9. Your Rights and Choices
Depending on where you live, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate information
- Delete your personal information and account
- Object to or restrict certain processing
- Withdraw consent (for example, unsubscribe from emails)
- Request a copy of your data in a portable format
- Opt out of the sale or sharing of personal information (we do not sell personal information)

10. Children's Privacy
reeConvertZo is not directed to children under 13 (or under 16 where local law requires), and we do not knowingly collect personal information from them. Our education tools are intended for use by students aged 13 and over, parents and teachers. If you believe a child has given us personal information, please contact us and we will delete it promptly.
11. International Data Transfers
Our servers and service providers may be located in countries other than your own. By using FreeConvertZo, you understand that your information may be processed in those countries, which may have different data protection laws. We take steps to ensure your information remains protected.
12. Third-Party Links
Our site may link to third-party websites or social platforms (such as Instagram, LinkedIn, GitHub and YouTube). We are not responsible for their privacy practices. Please read their policies before sharing information with them.
